BOOKING PROCEDURE -Contact the Singletree Community Manager at(970)926-2611 during normal working hours or check availability at www.singletreetoday.com. The Manager will determine availability and send out the booking information,including contracts or you can download the forms from the website. Your use of the facility will ONLY BE CONFIRMED upon receipt of the specified deposit, usage fees, signed contract and waivers and/or insurance certificate, if applicable. (You only have a tentative hold on the day requested until all items are received). You may submit your contract and payments one of three ways: Via US Mail to: Berry Creek Metropolitan District,Post Office Box 1058, Edwards, CO 81632 Hand Delivered to: The Singletree Community Center, 1010 Berry Creek Road, Edwards, CO. Fax or Email to: Fax#(970) 926-2614 or Manager@SingletreeToday.com. (Your reservation is not confirmed until payment is received.) Acceptable Payment Methods: Cash, check,Visa or Mastercard. Both the rental fee and deposit are due at the time of booking, unless credit card information is provided in lieu of the deposit. PHYSICAL LOCATION: 1010 BERRY CREEK ROAD ACCESS TO CENTER: A security access code will be given out 3 to 5 days prior to event upon request. If you do not receive your code,please call the office at(970)926-2611 or email Manager(a)Singletreetoday.com to receive your code. (If there is no answer at the office,please call (970) 328-5111. CAPACITY: As determined by Fire Codes,the maximum occupancy is 150 people in the large room. ROOM SIZES: Large Room(31' wide x 43' long) Conference Room(15' wide x 23' long) PARKING LOT: 56 spaces. THERE IS NO ON-STREET PARKING IN SINGLETREE. Cleaning Deposit(refundable) $75.00 Update:2/26/2013 Residents (non-commercial) Residents renting for non-commercial activities will receive a twenty-five percent discount off the g tY p above schedule. Note: Resident applicants must be actual on-site sponsors of activity,not nominal applicants for non-resident sponsor of an event. Anyone abusing this policy will forfeit their deposit. The Board may waive or reduce rental fees for governmental or community sponsored activities. NON-PROFIT USE Non-Profit 501(c)3 organizations in good standing and governmental entities may rent the center main room for the 50% residential rate. Subject to approval the rental fee may be waived for special community interest needs (ex.Polling place,town hall meetings, and community briefings). In most cases a refundable security deposit will be required. DEPOSITS Use of both park and community center at the same time requires combined deposit. Residents $150.00 Non-Residents $250.00 Weddings and Non-Resident Weekend $500.00 BASIC CLEANING including floor mopping and wiping down the counters plus bathroom clean up are part of your rental fee. Users will be responsible for cleaning up all decorations,wiping down the tables and chairs and placing them into the storage closet. This is a base-cleaning amount; cleaning beyond the basic will be charged to your deposit amount. ALL CATERING VENDORS MUST remove all of their equipment at the end of the event. There are to be no nails or tacks put into any walls. Special Note: Please do not use thumbtack,nails, tape, etc to hang decorations, etc. "Plasti-Tak" or a substitute reusable adhesive is acceptable. Do not use glitter or anything that will stick to the floor. You will be charged for damages. BALLOONS—DO NOT RELEASE BALLOONS. The ceilings are over 23 Feet high. Balloons can only be retrieved with a ladder. You will be charged additionally for our staff to retrieve the balloons. TABLES AND CHAIRS -Tables and chairs are located in the storage room. Tables are to be stacked flat on a dolly. Round tables have their own rack and should be stacked on end. After stacking chairs and tables on racks,please leave the racks in the middle of the room. WINDOWS—If window cleaning is required, all or part of your deposit will be retained. LIABILITY INSURANCE—To be addressed on a case by case basis. CANCELLATION POLICY-Berry Creek Metropolitan District may retain the usage fee if a cancellation occurs less than 14 days prior to the event. PARKING-Users must park in the parking lot provided. No parking is allowed on Winslow or Berry Creek Roads. Overflow on-street parking is NOT allowed when the parking lot is full. You are responsible to notify guests and visitors of the parking regulations. Illegally parked cars will result in the forfeiture of your security deposit. HOURS-The Community Center will be available for private functions between the hours of 7 AM and 10 PM daily. If there is amplified music, speakers must be indoors and must be turned off by 10:00 PM. Guests should Update:2/26/2013 depart by 10:00 PM and clean up and lock up must be completed by 10:30 PM. Anyone not vacating the building by 10:30 PM will forfeit their deposit. SOUND (Inside the community center)—Amplified sound such as DJ,public address, or live band may be used inside the community center and must be turned off by 10:00 p.m. Complaints from surrounding homes will result in the loss of your deposit!I!It SOUND (In the park)—Amplified outdoor sound is allowed in an area that includes the Community Center and the north side of the parking lot. Sound levels should be monitored so they do not disturb surrounding homes. Hours for use of amplified sound are: Monday-Saturday 9 a.m.—4 p.m., Sunday 12 noon—4 p.m. Any sound complaints to BCMD or the Eagle County Sheriff from residents near the park will result in the forfeiture of your security deposit. UNLOCKING AND SECURING BUILDING-A keypad is located next to the entrance doors that allow entrance to the building. Call 3-5 days prior to your event for an access code. There is a switch inside the building that will allow you to disengage the door lock during the function. Please be sure to re-engage the door lock upon leaving. A$35 fee will be charged if an Y g any tables need to be restacked. LIQUOR- It is the responsibility of the Users to obtain a liquor license, if liquor is to be SOLD on the premises. BARBECUE USE (Outdoor Cooking)—A gas grill is provided for your convenience. Please be respective of other users by leaving the grill area clean. CLEANING EQUIPMENT-Cleaning equipment including a large dust mop and broom is located in the utility room on the north side of the great room. Make sure all windows and doors are closed and secured before leaving the facility. All cleaning must be done immediately after an event and no later than 10:30 PM. The Facility is to be cleaned and emptied of all catering equipment and supplies. You must make arrangements to have your catering staff remove equipment and supplies immediately after the function. They cannot remain until the next day. If damage has occurred,the deposit, less cost of repairs and/or cleanup will be returned. If these costs are greater than the deposit the Sponsor/Lessee will be billed for the balance. The usage fee will not be refunded if the Lessee changes or cancels the event within 72 hours of the event. An Insurance Certificate may be required. If required,insurance adequate to cover injuries and/or damages for this specific use is in force in amounts acceptable to the District and will remain in force during the term of this Agreement. Berry Creek Metropolitan District reserves the right at any time to enter onto the premises to review Sponsor/Lessee actions and/or for any other reasonable purpose. The Sponsor/Lessee shall not assign nor sublet the P gtt premise or any portion thereof. The Sponsor/Lessee shall provide for appropriate policing of the premises to maintain public peace and order,litter and trash control,enforcement of policies and adherence to terms of the lease. Such Permit or License shall en become an attachment to this agreement. The Sponsor/Lessee is not a department,agent,or division of the District,but instea is a completely independent organization or individual responsible for its own actions,control,management,and perations.
